Covid-19 deadly virus gripping the entire world and bringing it to a standstill. People’s life, nature and the global economy falls prey to do this deadly virus. As of this date there is no permanent cure for the virus and the world also wouldn’t be under lockdown for much longer. So, Government and other institution needs put in place strict Covid-19 laws and mechanism to identify the people with symptoms at early stages and to avoid the mass spreading of the disease. Based on my knowledge and experience I am presenting the suggestion where companies can implement these SOP after the lockdown to ensure the continuous operation without Covid-19 impacting them.
RETHINKING THE PROCESS
Firstly, the Human Resource team needs to have all the vital information of its employee’s such emergency contact, Blood group, Permanent address, etc. HR team to formulate the policy on Covid-19 operating procedures and to be published to the employees. The operating procedure will have the amended leave policy, New leaves types and quarantine procedures.
So typically people when they start to work after the lockdown is released they have to present the self-declaration form declaring where they are from, where were they staying last 15 days, are they in contact with any of Covid-19 patients, did any of their family member affected by Covid-19. This information is not to penalise the employee but to have precautions in place to avoid the spread and to have continuous operation within the business.
In the course of operation if any of the employees exhibit the symptoms of Covid-19 they have to self-isolate themselves and also, they have to mention in the leave application stating the symptoms and categories the leave as Covid-19. This information will help the top management in viewing the statistics of people with symptoms of Covid-19. Based on this information the management can take a calculated decision on their next proceedings.
The organisation also needs to implement strict social distancing policy, group gathering, meetings etc. This can be avoided by implementing the approach of reduced work force, having only the essentials employees work from office and the non-essentials employees to work from home, by conducting virtual meetings. Regularly sanitising the work place and communal area to avoid the spread also needs to be followed by the health and safety team.
Impose Travel restrictions to Covid-19 Red zone countries. Any employee returning to the office from a different country needs to be quarantined. Avoid non essentials travels. HR team to put in place the exigency plan if an employee is affected by Covid-19.
The health and safety team of the organisation needs to conduct regular audits across organisation whether the above-mentioned preventive measures are followed by the employees. if not, Non-conformance report can be raised. Subsequently the CAPA raised in regards to the findings to be enforced by the Health and safety to be implemented.
An ERP can help in organising your protocols of Covid-19, and effective usage of ERP will help control and regulate the spread of disease within an organisation. Human resource team can effectively use ERP in recording the employee’s personal information. HR team can also store their Covid-19 rules, regulations, leave policy, quarantine policy, expense management, health and safety records using the Document management modules.
Employees can use the Employee self service module to raise leave and also categories them as Covid-19 with appropriate remarks against it. Employees can also raise an incident within the organisation using incident reporting module.
Health and safety team can use quality management module to schedule audits within the organisation to ensure the adherence of Covid-19 polices and regulation. They can also raise Non-conformance report and send out the CAPA to the employees. The H&S team can also assess the risk and tabulate the risk under risk register.
Alerts and mails can be configured within departments to immediately notify if any new policy regarding Covid-19 is raised or any vital information. The top management can use the analytics in terms of dashboard and graphs to review the information specific to Covid-19.
